What Information Should You Send When Requesting a Forklift Quote?

What Makes a Forklift Quotation Accurate?

A forklift quotation depends on more than rated capacity. Load size, center of gravity, required lift height, forks, attachments, working conditions and power requirements can all change the machine configuration. Quantity and destination also matter when discussing the final equipment specification. Providing these details from the beginning makes it easier to compare forklifts intended for the same job.

XINGHAO supplies different types of material handling equipment for warehouse, industrial and outdoor applications. Available equipment can be viewed in the product range.

Load Weight, Dimensions and Load Center

The starting point is the heaviest load the forklift will handle during normal operation. If most loads are 2,000 kg but some reach 2,800 kg, the heavier value is more useful when discussing the required capacity.

Weight alone is not enough. Two loads with the same weight can place very different demands on a forklift if one is compact and the other is long or unevenly distributed.

Load Dimensions

Load length, width and height help show how far the load extends from the fork face. These measurements are particularly useful for steel coils, stone, machinery, molds, timber and fabricated structures.

Load Center

Forklift capacity is normally rated at a specified load center. When the center of gravity moves farther forward, available capacity can change. For this reason, a request for a "5 ton forklift" does not provide the same information as a request for a forklift handling 5,000 kg at a known load center.

Example: Maximum load 5,000 kg, load length 1,600 mm, load width 1,200 mm and estimated load center 800 mm.

Lift Height and Available Clearance

Required lift height affects the mast configuration and should be given together with any height restrictions at the site.

A forklift may need to reach a high storage position while still passing through a lower doorway or operating beneath a roof. The required fork height and the available clearance are therefore separate measurements.

  • Required maximum fork height
  • Doorway or entrance height
  • Ceiling or overhead clearance
  • Height restrictions inside trucks or containers

For high-lift applications, load weight at the required working height is also important because rated capacity and capacity at height are not always the same.

Forks and Attachments

Standard pallet forks are suitable for many jobs, but not every load uses standard pallet dimensions. Long crates, machinery bases and large industrial materials may require different fork dimensions.

Fork Dimensions

Useful measurements include required fork length, fork spacing and any fixed fork-pocket dimensions on the load.

Load Entry

For pallets or crates, identify the entry direction and any restrictions around the fork openings.

Attachments

Side shifters, fork positioners, clamps, rotators and other attachments can change the load geometry and add weight in front of the carriage.

If a specific attachment is required, its type, approximate weight and hydraulic requirements are useful when discussing the machine.

Working Hours and Site Conditions

A forklift used occasionally does not have the same operating pattern as a truck working through several shifts. Daily operating hours, number of shifts and available charging or refueling time help define the power configuration.

Ground Surface

Indoor concrete, outdoor pavement, gravel and uneven ground place different demands on tyres, ground clearance and chassis design.

Ramps and Slopes

If the forklift regularly travels on a ramp, the slope and whether the truck travels loaded or unloaded should be included.

Working Space

For sites with limited room, aisle width and available turning space are useful measurements. Large loads may require more clearance than the truck itself.

  • Indoor, outdoor or mixed operation
  • Daily operating hours and number of shifts
  • Concrete, asphalt, gravel or uneven surface
  • Ramp or slope conditions
  • Available aisle and turning space
  • Dust, rain, temperature or other site conditions

Diesel Emission or Electric Battery Requirements

Power requirements should be clear before the final configuration is discussed.

Diesel Forklifts

For diesel equipment, the destination market and required emission level should be provided when known. Engine configurations can differ between markets, so the destination is more useful than assuming that one diesel specification is suitable everywhere.

Electric Forklifts

For battery-powered equipment, operating hours and available charging time are important. If the battery type has already been selected, that preference can also be included.

Useful electrical information includes the available charging supply, number of shifts and whether charging can take place during breaks or only after work.

Quantity and Destination

The number of machines should be stated together with the required capacity or model mix. If different forklift sizes are needed, list the quantities separately.

Destination country is also useful at an early stage. When available, include the destination city or port.

Destination can affect discussions about engine configuration, electrical requirements, machine dimensions and transport.

Example: Two 3.5 ton electric forklifts and one 5 ton diesel forklift for delivery to Los Angeles, USA.

Quantity Number of units Order configuration
Destination Country, city or port Market and transport requirements

Example of a Forklift Quote Request

A useful inquiry can still be short. The important point is to include the main working conditions.

We need one diesel forklift for outdoor industrial use. Maximum load is 8,000 kg at approximately 600 mm load center. Required lift height is 4,500 mm. The truck will work about eight hours per day on paved ground and will travel on a short ramp. Standard pallet forks are required. Destination is Houston, USA.

When some measurements are not yet available, send the confirmed information first and identify the remaining items that still need to be checked.

Spare Parts and Service

Spare-parts requirements can be discussed together with the machine, especially when the forklift will operate far from the supplying facility.

Information about parts and service is available on the After-Sales & Parts page.
